Waitlisting

Waitlisting in Breely helps you keep your schedule full by letting clients claim newly available spots the moment they open. Whether you offer one-on-one appointments or group classes, clients can easily join a waitlist from your booking form and get notified automatically when availability changes.


Breely supports two types of waitlists depending on the kind of event:

1. One-on-one Appointments

Clients can join a waitlist for a specific Event Type when no open times are available.

When a client joins an appointment waitlist:

  • They’re added to the waitlist for that Event Type

  • Breely watches for any new openings in the next 30 days

  • As soon as availability appears, the system triggers your waitlist notification settings

  • Clients can book the newly opened time immediately

This is ideal for service providers who release availability dynamically or frequently get cancellations.

2. Classes and Group Events

Clients can waitlist a specific class session when it is full.

When a client joins a class waitlist:

  • Their request applies only to that specific class date and time

  • They’ll be notified if a seat opens in that session

  • The first client to book gets the spot (unless you use the First in Line option)

This is designed for yoga studios, workshops, bootcamps, and other capacity-limited classes.


Enabling waitlisting

Waitlisting is an optional feature that must be turned on before it appears in your forms.

Step 1: Turn on the global feature

  1. Click Features and Integrations from the sidebar

  2. Select Breely Features from the top navigation

  3. Toggle on Waitlisting

This unlocks the waitlist tools across your account.


Enabling waitlisting on a booking form

Once the global feature is active, you can enable waitlisting for each form individually.

  1. Click Forms from the sidebar

  2. Select the form you want to edit

  3. Click the settings icon on the Appointment block

  4. On the right-side panel, toggle on Enable Waitlist

When enabled, clients will automatically see a “Join Waitlist” option when no times are available.


Managing your waitlist

Navigate to Waitlisting in the sidebar to see all waitlisted clients across your business.

Waitlist

A list of clients currently waiting for appointments or classes.

  • Filter by Event Type

  • Filter by upcoming or past activity

Automations

Controls what happens when a spot opens.

  • Automatically send an email to clients

  • Add additional actions as needed

  • Trigger notifications immediately when availability is detected

Settings

Controls how clients are notified when a slot becomes available.

  • Notify Everyone: Notify everyone on the waitlist at once, first person to book gets the spot
