Breely gives you powerful automation options across both forms and marketing. Every form can trigger instant actions like sending emails, texts, or syncing with your tools, while marketing automations let you nurture clients, promote events, and keep your audience engaged.

Automation Actions

Breely Automations offer a variety of actions to suit your needs:

  • Email: Craft stunning, personalized emails with our full WYSIWYG (What You See Is What You Get) editor. Dynamically insert data from your forms and events—like appointment details, client names, or custom field values—so every message feels relevant and tailored.

  • Text Message: Deliver essential information instantly via SMS. Use pre-set templates for common scenarios or create your own to keep clients informed at the right time.

  • Slack Notification: Instantly send updates to your Slack channels or team members. Perfect for alerting staff of new bookings, cancellations, or client updates in real time.

  • Custom Field Update: Automatically update client records with new details collected from forms or events.

  • Phone Call: Trigger automated phone calls for appointment confirmations, reminders, or urgent updates. A direct way to ensure clients never miss critical information.

  • Webhook: For advanced users, webhooks let you connect Breely with other apps and services. Configure a POST URL and body to seamlessly transfer data and extend Breely into your existing workflows.

Automation Timing

Set your automations to run exactly when you want. First, choose a time frame (minutes, hours, or days), then select the event that triggers it:

  • After scheduling: Triggered after an appointment is scheduled. Perfect for instant confirmations or welcome notes.

  • Before the appointment: Triggered before an appointment occurs. Great for reminders or "don't forget" messages. You can even choose how far in advance!

  • After completed: Triggered after the end time of the appointment. Send follow-ups, thank yous, or ask for reviews.

  • After canceling: Triggered when an admin or client cancels an appointment. Confirm cancellations or offer rebooking options.

  • After rescheduling: Triggered when an appointment is rescheduled to a new time. Keep everyone in the loop when plans change.

  • After condition is met: Triggered when the conditions set in the Marketing automation matches. Useful for sending tailored marketing messages, like client retention.

Automation Conditions

Automations can be tailored with conditions so they only run when specific rules are met. For example, you might want to:

  • Email clients a coupon code after their 10th class

  • Send yourself an email 2 days before any classes that do not have attendees

  • Email all clients a Happy New Year message on January 1st

  • Post to Slack when a high-value client schedules across any forms

In the Only Do This When section, you can add conditions by choosing a field (like “First Appointment”), a comparison (like “is”), and a value. You can add multiple conditions to fine-tune your automation.

Form Automations Are Tied to Individual Forms

Form automations live within the forms themselves, even though you can access them through the Marketing Automations section. This means automations only run when a client books through the specific form they’re attached to.

Example:

If you set up automations on your “Default” booking form, but a client books through a different form (like one created for a special event), those default automations won’t trigger. Each form needs its own set of automations (Email, SMS, Slack, etc.) to ensure clients get the right follow-ups.

⚠️ Note: If a client has not opted in to marketing, they will not receive marketing emails—even if they match your conditions. This ensures compliance with email regulations.

After you enable marketing automations then clients will be able to opt in when booking or filling out forms

Best Practices

  • Always add at least one condition so your automation targets the right clients.

  • Use multiple actions if you want to send an email and notify your team in Slack.

  • Combine with Breely’s Custom Fields to track client details and trigger personalized workflows.

  • Double-check opt-in status before relying on email actions.
