Offering Clients a Choice: In-Person or Virtual Appointments

If you offer both in-person and virtual appointments, here are two effective methods to allow clients to choose their preferred format during scheduling:

Option 1: Create Separate Event Types

This approach involves creating distinct event types for in person and virtual appointments.

  • In-Person Event Type: Create one event type for "In Person" with the location set to In Person

  • Virtual (Zoom) Event Type: Duplicate the in person event type, then edit the name and location to be virtual and connect to your virtual meeting integration (ex., Google Meet or Zoom). This event type would be set up to automatically generate a Zoom meeting link upon booking.

This is the best option when you have a small number of distinct event types where the location (in-person or virtual) is a primary differentiator.

Option 2: Dropdown Question in Your Scheduling Form

This method involves adding a custom question to your existing scheduling form that asks clients to indicate their preferred appointment format (In-Person or Virtual).

  • Single Event Type: You would have a single event type set up, ideally configured to generate a Zoom link by default.

  • Conditional Communication: Based on the client's selection in the dropdown question, you would customize the information included in their confirmation and reminder emails.

    • If "In-Person" is selected, the emails would contain the physical location details, and you would omit or clearly indicate that the Zoom link is not applicable.

    • If "Virtual" is selected, the emails would include the generated Zoom link and instructions.

It's important that your email communication is clear and accurately reflects the client's choice to avoid any confusion regarding the meeting format.
